Mandatory and Optional Courses in User Groups

The Mandatory and Optional Courses feature allows administrators and managers to designate courses assigned through User Groups as either Mandatory or Optional. This enables organisations to clearly distinguish between courses required for compliance and those available for learners to complete voluntarily.

  • Mandatory courses are included in compliance tracking and course counts.

  • Optional courses remain accessible to learners but do not affect compliance.

Assigning Courses as Mandatory or Optional

When assigning courses within a User Group, you can specify whether each course is Mandatory or Optional. A toggle is available on each course to make this easy to manage.

To set a course as Mandatory or Optional:

  1. Go to Administration β†’ Group Management.

  2. Open the User Group to which you want to assign courses.

  3. Select the e-Learning e-Folders tab.

  4. Click Assign e-Folders to begin assigning courses.

  5. Select the relevant courses or e-Folders and click Assign.

  6. Enable Training View to see the assigned courses.

  7. Use the toggle on each course to set it as Mandatory or Optional according to your requirements.

What Mandatory and Optional Mean

Mandatory Courses

Mandatory courses are required for learners and are included in compliance tracking. These courses count towards:

  • e-Learning course count

  • e-Folder count

Learners are expected to complete all Mandatory courses to remain compliant within your organisation.

Optional Courses

Optional courses are available for learners to complete but are not required for compliance. Key points to note:

  • Learners can still access and complete Optional courses at any time.

  • Completion of Optional courses does not affect a learner's compliance status.

  • These courses are well suited to additional learning, awareness training, or recommended development materials.

How Courses Appear to Learners

On the e-Learning page, each course displays a tag clearly indicating whether it is Mandatory or Optional. This allows learners to quickly identify which courses are required and which are available for additional development.

When to Use Optional Courses

Optional courses are particularly useful when you wish to:

  • Provide recommended or supplementary training materials.

  • Offer additional learning resources for personal or professional development.

  • Allow learners to build extra skills without impacting compliance requirements.
