The Flexible Course Scheduling by User Group feature gives you intelligent control over how and when training is delivered. Create groups by role, department or location, assign training sets, and automatically schedule release dates so the right people get the right training exactly when they need it.
With this scheduling feature, you can:
Create user groups based on role, department, or location.
Assign tailored training sets and automatically schedule when each course becomes available.
Send automatic notifications so learners know exactly what to complete and when.
Keep training relevant, timely, and aligned with real job needs — without the admin burden.
Step 1: Add/ Edit User Group
Go to Administration > Group Management.
Add or Edit an existing User Group.
Step 2: Assign e-Folders / Training
Step 3: Set Sequence and Delay
Navigate to the Set Sequence and Delay tab to set course order and delays.
Step 4: Training Available Anytime
Training Available Anytime set have all those training which will be available without any Sequence and delay rules.
Step 5: Create New Set
Click on "Create New Set" to create Set 1.
Set 1 includes set of training that is available immediately and must be completed to unlock Set 2 and any following sets.
Step 6: Move Training to Set 1
Drag and Drop training from "Training Available Anytime" to "Set 1"
Step 7: Create Set 2
Click on "Create New Set" to create Set 2.
Set 2 unlocks only after completing Set 1, and the same applies to all following sets. If a delay is applied, each set becomes available after the specified number of days from the previous set’s completion
Step 8: Add Training to Set 2
Drag and Drop training from "Training Available Anytime" to "Set 2"
Step 9: Add Delay
Add delay in days for each training in Set 2. 0-day delay means immediate access after the previous set completion.
Step 10: Delete Training Set
Click on Delete icon to delete a training Set. Upon deletion the training in deleted Set will be moved to "Training Available Anytime"
Additional Notes
Show or hide the training set to easily drag and drop training between two or multiple sets.
For grouped e-folder, the set sequence and delay rules apply to all training within the e-Folder as a whole. Click 'View Training' to preview all included courses
Excluded Training Types
Some types of training are not included in the Sequence and Delay feature:
Old System Training
Uploaded Training
Reinforcement Training
Training Visibility in e-Learning
All training courses in a user group are visible in the e-Learning.
When users try to access training that isn’t yet available, they’ll see a pop-up message explaining what must be completed first or when it will be available.
Email Notifications
Users will receive an email notification when new training becomes available.
Users in Multiple Groups
If a user belongs to more than one user group, the system will prioritise training from the group with the earliest available sequence and delay.
