The Fixed Day Course Scheduling by User Group feature gives you precise control over how and when training is delivered. You can create user groups by role, department, or location, assign courses for specific dates, and ensure they are available to learners exactly when needed. This ensures the right people receive the right training at the right time.
With this scheduling feature, you can:
Create user groups based on role, department, or location.
Assign tailored training sets and schedule when each course becomes available.
Send automatic notifications so learners know exactly what to complete and when.
Keep training relevant, timely, and aligned with real job needs — without administrative burden.
Steps to Set Fixed Day Availability
Step 1: Add or Edit a User Group
Go to Administration > Group Management.
Add a new group or edit an existing one.
Step 2: Set Training Schedule
Click “Set Training Schedule”.
Step 3: Choose Scheduling Option
Two scheduling options will be displayed. Choose carefully, as once a scheduling option is selected, it cannot be changed for the group.
Step 4: Select Fixed Day Availability
Click “Set Fixed Day Availability” and then Proceed.
A confirmation popup will appear. Click Yes to continue.
Step 5: Assign Dates to Training
All training assigned to the user group will be displayed.
Select the dates according to your schedule and click Save Changes.
Trainings with the same scheduled date will be grouped together at the bottom of the list.
Trainings without a specific date will remain available at all times.
Once all dates are chosen, click Save to finalise the schedule.
Step 6: Bulk Assign Dates (Optional)
Click “Bulk Assign” to enable multi-selection.
Select multiple training items and set a common date for all selected items.
Click on "Apply" to set the date to selected training
Training Visibility in e-Learning
All training courses assigned to a user group are visible in the e-Learning platform.
If a user tries to access a course that is not yet available, a pop-up message will appear showing the date when the training will become accessible.
Email Notifications
Users will receive an email notification when new training becomes available.
Users in Multiple Groups
If a user belongs to more than one user group, the system will prioritise training from the group with the earliest available date.
