e-Learning Snapshots - Coming Soon

The e-Learning Snapshots provide an overview of an organisation's e-Learning compliance. It gives managers a quick view of user compliance, training status, and compliance across different site locations and departments.

The report is divided into three main areas:

  1. User Compliance

  2. Training Compliance

  3. Site Location / Department Breakdown

Accessing the e-Learning Snapshot

  1. Go to Reporting Dashboard

  2. Select e-Learning Snapshots.

The report displays the latest available compliance information for the organisation.

User Compliance

The User Compliance section provides an overview of how many active users are fully compliant with their assigned training.

Summary cards

The summary cards at the top of the report provide a quick overview of user and training compliance.

Status

Description

Active Users

The total number of active users in the organisation.

Fully Compliant

Users who have completed all training currently assigned to them.

Non-Compliant

Users who have one or more assigned training items that have not been completed. For example, a user with one training item in To Do is considered non-compliant.

In Progress

The number of training records currently being completed by users.

Not Started

The number of assigned training records that users have not yet started.

Passed

The number of training records that users have successfully completed.

Expiring

The number of training records that are approaching their expiry date.

Expired

The number of training records that have passed their expiry date.

Failed

The number of training records where the user has failed the required assessment.

User Compliance percentage

The User Compliance bar displays the percentage of active users who are fully compliant with their assigned training.

For example, if an organisation has 500 active users and 375 users are fully compliant, the User Compliance percentage will be 75%.

View additional details

The summary cards are interactive and can be selected to view further information.

For example:

  1. Select Non-Compliant.

  2. A list of users who are not fully compliant is displayed.

  3. Select a user to view their assigned training and identify the training that requires attention.

This allows managers to quickly identify users who may require follow-up.

Training Compliance

The Training Compliance section provides an overview of the status of training assigned to active users across the organisation.

Training records are grouped into the following statuses:

  • Passed

  • Expiring

  • Expired

  • Failed

  • In Progress

  • Not Started

This provides managers with a quick overview of completed training and training that may require attention.

Training Compliance percentage

The Training Compliance bar displays the overall percentage of assigned training that is compliant.

This provides an indication of how much of the organisation's assigned training has been successfully completed compared with training that is outstanding or requires attention.

Site Location / Department Breakdown

The Site Location / Department Breakdown provides a more detailed view of compliance across different areas of the organisation.

The table displays compliance information for each Site Location and Department.

Column

Description

Site Location

The site or location associated with the users.

Department

The department associated with the users.

Users

The number of users within the selected site and department.

Compliance %

The percentage of users within the site and department who are fully compliant.

Non-Compliant

The number of users who are not fully compliant.

Passed

The number of passed training records.

Expired

The number of expired training records.

Expiring

The number of training records approaching expiry.

Failed

The number of failed training records.

In Progress

The number of training records currently in progress.

The breakdown helps managers identify sites and departments with lower compliance levels and determine where further action may be required.

Compliance percentage

The Compliance % column shows the percentage of users within each site and department who are fully compliant with their assigned training.

The table is sorted by the lowest compliance percentage first, making it easier to identify areas that may require attention.

Exploring the Breakdown

The figures displayed in the breakdown table are interactive. Selecting a figure allows you to view more detailed information.

View users

To view the users within a particular site and department:

  1. Locate the relevant site and department in the table.

  2. Select the number in the Users column.

  3. A list of users belonging to that site and department is displayed.

  4. Select an individual user to view their assigned training and the status of each training record.

View non-compliant users

To identify users who are not fully compliant:

  1. Locate the relevant site and department.

  2. Select the number in the Non-Compliant column.

  3. A list of non-compliant users is displayed.

  4. Select a user to view their assigned training.

  5. Review the training records to identify any outstanding or overdue training.

View training status

The training status figures are also interactive.

You can select figures for statuses such as:

  • Passed

  • Expired

  • Expiring

  • Failed

  • In Progress

To view the users associated with a particular status:

  1. Locate the relevant site and department.

  2. Select the required status figure.

  3. The users with training records in that status are displayed.

  4. Select a user to view their relevant training details.

For example, selecting Expired displays the users who have expired training records for that particular site and department.

Using Filters

The Filters option allows you to refine the information displayed in the e-Learning Snapshot.

To filter the report:

  1. Select Filters.

  2. Select the relevant criteria from the available filtering options.

  3. Apply the filters.

  4. The report updates to display information based on the selected criteria.

Filters can be used to focus your review on relevant users, site locations, departments or other available criteria.

Exporting the Report to Excel

You can export the e-Learning Snapshot data to Excel for further analysis or record keeping.

To export the report:

  1. Open the e-Learning Snapshot.

  2. Apply any required filters.

  3. Select Export to Excel.

  4. The report data is exported as an Excel file.

The exported data can be used for further analysis, reporting or record keeping outside the system.

Key benefits

The e-Learning Snapshot makes it easier for managers to:

  • Quickly assess overall training compliance.

  • Identify fully compliant and non-compliant users.

  • Monitor training that is expired, expiring or failed.

  • Identify sites and departments with lower compliance.

  • Drill down from summary figures to individual users and training records.

  • Filter the report to focus on specific areas.

  • Export compliance data for further analysis.
