Upload User Training

The Upload User Training page allows managers and sub-managers to upload and manage in-house or external training records for users and link them to the user’s Human Focus profile.

Training records can be added one by one or in bulk using an Excel file. All uploaded external training records are displayed on this page, making it easy to manage everything from a single location.

How to Access This Page

  1. Go to Administration

  2. Select Trainees

  3. Click Upload User Training

Overview of the Main Grid

The main grid displays all external training records uploaded for users.
Each record shows the current training status, such as:

  • Passed

  • Expiring

  • Expired

This allows managers to quickly review and manage user training records.

Upload a New External Training Record

To upload a single training record:

  1. Click Upload Training


    A pop-up window will open.


  2. Select the User

  3. Select the Training Provider

  4. After selecting the training provider:

    • Select the Training

    • Select the Expiry Date, if applicable

      • If the training does not expire, select No Expiry

    • Upload the Certificate, if available

      • If no certificate is available, select “Check if you don’t have a certificate”

  5. Click:

    • Save & Close – to save the record and close the pop-up

    • Save & Upload More – to save the current record and keep the pop-up open to upload another record

Upload User Training in Bulk

Managers and sub-managers can upload multiple training records at once using an Excel file.

Steps to Upload in Bulk

  1. Click Bulk Upload Training

  2. A pop-up window will open

  3. Download the Excel template

  4. Fill in all required information in the template

  5. Upload the completed Excel file and click Upload

Reviewing Upload Errors

After uploading the file:

  • You will be taken to the next screen where any unsuccessful records are displayed

  • Each failed record shows the error or reason for failure

  • You can fix the errors directly on this screen

Once all issues are resolved:

  • Click Submit After Fixes

You can also:

  • Export unsuccessful records to Excel

  • Fix them and upload again

Selecting Discard will display a confirmation message where you can choose Yes or No.

Filters

Filters can be applied to the main grid to quickly find specific records.
The following filters are available:

  • Person Identifier

  • Training Provider

  • Training Title

  • Training Status

  • Completion Date (From / To)

  • Expiry Date (From / To)

Sorting

Records in the main grid can be sorted using the following options:

  • Person Identifier (Ascending / Descending)

  • Training Provider (Ascending / Descending)

  • Training Title (Ascending / Descending)

  • Completion Date (Ascending / Descending)

  • Expiry Date (Ascending / Descending)

Export to Excel

The Export to Excel option allows you to download all records displayed in the grid.

  • Exported data follows the applied filters and sorting

  • Useful for reporting and offline review

More Options

The More Options menu provides additional bulk actions:

  • Bulk Edit Training

  • Bulk Delete

Bulk Edit Training

This option opens the main grid in edit mode, allowing managers to update multiple training records at once.

  • Make the required changes across records

  • Click Update to apply changes to all selected records in one action

Bulk Delete

This option allows managers to delete multiple training records at once.

  1. Click Bulk Delete

  2. Select the required records from the grid

  3. Click Delete

  4. Confirm the action to remove the selected records
