Content Builder – Editor and Viewer Permissions

Content Builder toolkits can now be managed using Editor and Viewer permissions to support controlled access, better collaboration, and secure content management.

e-Folder Access Permissions in Content Builder

A new enhancement to Content Builder e-Folder management provides improved control over how access is assigned.

When enabled at the organisation level, users with Content Builder access can assign Editor or Viewer roles to other users for the e-Folders they have created.

Access Levels

Viewer Access

  • View e-Folder content only

  • No editing or modification rights

  • Cannot delete or update content

  • Ideal for review or read-only access

Editor Access

  • View, edit, and manage e-Folder content

  • Update toolkit structure and settings

  • Full control over the assigned content

Note: Manager users will always have Editor access by default to ensure full control over e-Folder management.

Owner Access

  • The user who creates the e-Folder is automatically assigned as the Owner

  • Owner will always have Editor access by default

  • An Owner badge will be displayed to identify the creator of the e-Folder

  • Owner permissions cannot be removed as they retain full control of the e-Folder

How it Works

1. Navigation

  • Go to Content Builder

  • Click on the required e-Folder

  • Click on e-folder Permission

2. Assign Editor Access

  • Select the user from the list

  • Choose Editor role

  • Click Save changes

The user will be able to:

  • Edit Training content

  • Manage Training settings

3. Assign Viewer Access

  • Select the user from the list

  • Choose Viewer role

  • Click Save changes

The user will be able to:

  • View content only

  • Access e-Folder materials

  • Cannot make any changes

Using Filters

The Filters option allows users to refine the list of users displayed within the Access / Permissions panel. This is particularly useful when managing access across large user bases.

Available Filter Options

• Search User – Search for a specific user by name or identifier

• Site Locations – Filter the user list by specific site locations

• Departments – Filter the user list by department

• User Groups – Filter the user list by assigned user group

Applying Filters

  • Select the required filter criteria from the available options.

  • Click Apply to update the results based on the selected criteria.

  • Click Reset to clear all selected filters and return to the default view.

Bulk Edit

The Bulk Edit option allows administrators and managers to update access permissions for multiple users simultaneously, reducing the time required to manage large numbers of users.

How to Use Bulk Edit

  • Click the Bulk button in the top-right area of the Access / Permissions panel.

  • The user grid will enter edit mode, displaying role dropdowns for each user.

  • Select the appropriate role (Viewer or Editor) for each user as required.

  • Click Save to apply all changes at once.

Note: Bulk Edit enables access permissions to be granted or removed for multiple users in a single action, streamlining the administration of e-Folder access.

Important Information

  • Permissions are applied at the e-Folder level

  • Changes take effect immediately after saving

  • The Owner is automatically assigned to the creator of the e-Folder

  • Owner will always have Editor access

  • Owner badge is displayed for identification

  • Manager users always retain Editor access

  • Viewer users have read-only access only

This feature allows organisations to control access to Content Builder e-Folders by assigning Editor or Viewer roles to users.

Each e-Folder also has an Owner, who is automatically assigned to the creator and always retains Editor access. This ensures clear ownership, better governance, and secure content management.
