Overview
The filters let you narrow the User Training Results report to just the users, training and locations you need. A smaller, focused report is quicker to read and easier to export.
This page covers the filters in User View, where results are shown user by user. You can use them to answer questions such as:
Which users in a department have completed a particular training?
Who at a specific site still has training outstanding?
What are the results for one person?
How to use the filters
You can filter the report in four steps.
Go to Reporting Dashboard and open the User Training Results report.
Select Filters at the top left of the report. The filter panel opens below the toolbar.
Choose or type your options in one or more fields. For example, select a department from the Department drop-down list, or type a name in Search User.
Select Apply. The report updates to show only the results that match your choices.
You do not need to fill in every field. Leave a field blank if you do not want to filter by it.
Filter descriptions
There are ten filters. Select a drop-down arrow to see the available options, or type directly into a text box.
Filter | Field type | What it does |
Search User | Text box | Type a user's name to find their results. |
e-Folder | Drop-down list | Shows results for training that sits in the e-Folder you choose. |
Training | Drop-down list | Shows results for one specific training. |
Site Location | Drop-down list | Shows users who belong to the site or location you choose. |
User Group | Drop-down list | Shows users who belong to the user group you choose. |
User Status | Drop-down list | Chooses which users are included, based on their status. It is set to Active by default. |
Department | Drop-down list | Shows users from the department you choose. |
Job Role | Drop-down list | Shows users with the job role you choose. |
Job Title | Text box | Type a job title to find users who hold that title. |
Shift | Drop-down list | Shows users assigned to the shift you choose. |
Note: The User Status filter is set to Active by default, so inactive users are not shown unless you change it.
Filter buttons
Three buttons sit at the bottom of the filter panel.
Button | What it does |
Apply | Updates the report using the filters you have chosen. Your choices only take effect once you select this button. |
Save Filters | Saves your current choices so you can use them again later without setting them up each time. |
Reset | Clears your choices and returns the filters to their default settings. |
Combining filters
You can use several filters at once. The report then shows only the users who match all of your choices. Here are some common examples.
You want to see | Use these filters |
Results for one person | Search User |
One department's results for a particular training | Department + Training |
Everyone at a site who works a particular shift | Site Location + Shift |
Results for a user group, including users who have left | User Group + User Status (change from Active) |
Everyone with a certain job title at one site | Job Title + Site Location |
Results for all training in an e-Folder | e-Folder |
Tips
Start broad, then narrow down. Apply one or two filters first, then add more if you need to.
Check User Status. It is set to Active by default, so users who are no longer active will not appear unless you change it.
Select Apply after every change. The report does not update until you do.
Use Save Filters for reports you run often, such as a regular check on one department.
Filter before you export. This keeps the exported file to just the information you need.
Use Reset when you want a fresh start. It is quicker than clearing each field one by one.
Troubleshooting and FAQs
The report shows no results. What should I do?
Your filters may be too specific. Select Reset, then apply your filters again one at a time to find which one removes the results.
I cannot find a user I know exists.
Check the User Status filter. If the user is inactive, change it from Active and select Apply. Also check that your spelling in Search User is correct.
I changed a filter but the report has not changed.
Select Apply. The report only updates after you do this.
Do my saved filters stay the next time I visit?
Yes, if you selected Save Filters. If you did not, the filters return to their defaults when you leave the page.
Does Export include my filters?
Export downloads the report as it is currently shown, so apply your filters first.
