The Training History report shows all training that has been completed across your account. Use it to check who has completed which courses, review individual training details and export records for audits or compliance checks.
Opening the report
Filtering the report
Filters let you narrow the report down to the people, courses, Site locations and dates you need. You can use one filter on its own or combine several to build a very specific report.
How to apply filters
Click Filters at the top left of the report.
Set one or more of the filters described below.
Click Apply. The report updates to show only the records that match all of your chosen filters.
Good to know: When you combine filters, the report only shows records that match every filter you have set. For example, Site Location = London and Department = Accounts shows only Accounts staff based in London.
Search User
Use this to find the training history of one particular person.
Tip: Leave this box empty to see all users.
e-Folder (course subject)
An e-Folder groups courses by subject, for example Display Screen Equipment or Fire Safety. Use this filter to see all training within one subject area.
Training (course title)
Use this to see who has completed one specific course.
Click the Training drop-down.
Type part of the course name or number in the Search here… box, or scroll through the list. Courses are shown with their course number, for example 732 – Display Screen Work – For Managers.
Select the course.
Click Apply.
Tip: Select an e-Folder first to make the Training list shorter and easier to search.
Site Location
Use this to see training for users based at one or more sites.
Click the Site Location drop-down.
Tick the check box next to each site you want. Use the Search here… box to find a site quickly, or tick the box at the top to select all sites.
Click Apply.
Tip: The option shown as “-” includes users who have no site location assigned.
Department
Use this to see training for one or more departments, for example Accounts or Customer Support.
User Group
User groups are custom groups set up in your account, for example New Starters or Managers. Use this filter to report on one or more of these groups.
User Status
Use this to choose whether the report includes current users, former users or both.
Option | What it shows |
Active | Users who currently have access to the system (selected by default) |
Archived | Users who have been archived, for example leavers |
All | Both active and archived users |
Tip: If you can’t find a user who has left the organisation, change User Status to Archived or All.
From Date and To Date
Use these to see training completed within a set period, for example the last financial year.
Tip: You can set just a From Date to see everything completed since that date, or just a To Date to see everything completed up to that date.
Job Role
Use this to see training for users with one or more job roles.
Job Title
Use this to find users by their job title.
Shift
Use this to see training for users on one or more shifts, for example Day Shift, Shift A or Weekend Shift.
Click the Shift drop-down.
Select the shift(s) you want. Use the Search here… box to find a shift quickly.
Click Apply.
