Create Training (AI)

Create Training (AI) allows you to automatically create a complete training course from your existing source material.

You can provide documents, videos, content from your library, or written instructions, and the AI will analyse the content and create a structured training course. You can review and make changes to the proposed course structure before generating the final training.

What can you create with AI?

You can use Create Training (AI) to:

  • Create training from documents, videos or written content.

  • Combine multiple source materials into one training course.

  • Automatically structure content into logical training sections.

  • Generate knowledge test questions.

  • Create non-scoring learning sections.

  • Choose how closely the generated content should follow your source material.

  • Generate training in different languages.

  • Review and edit the AI-generated course structure before creating the training.

How to Create Training Using AI

Step 1 – Add Your Source Content

From the Trainings panel, select Create With AI, then select Create Training (AI).


You will be given three options for providing the content you want the AI to use.

Upload Files

Select Upload Files to upload documents or videos from your computer.


You can either:

  • Click the upload area and select your files.

  • Drag and drop files into the upload area.

Supported formats include:

Documents

  • PDF

  • DOC/DOCX

  • PPT/PPTX

Videos

  • MP4

  • MOV

The maximum file size is 20 MB for documents and 200 MB for videos.

Select from Library

Select Select from Library to use documents or videos that are already stored in your training library.

Use the available options to switch between Documents and Videos, and use the search option to find the content you need.

Provide Content

Select Provide Content if you want to enter the training content directly.


You can type or paste:

  • A training topic.

  • Instructions.

  • Training information.

  • A complete script.

The content must contain at least 1 word and can contain up to 100,000 characters.

Select Add to Queue when you have entered your content.

Selected Content

As you add content, the Selected Content panel displays the material that will be used to create the training.

The panel also shows the total capacity being used, including:

  • Pages.

  • Video minutes.

  • Words.

Tip: You can combine different types of content. For example, you can add a document and a video to the same training.

Once you have added at least one source, select Next.

Step 2 – Set Training Preferences

The Training Preferences screen allows you to define the basic details of your new training.

Training Code

Enter a unique reference code for the training.

The training code can contain a maximum of 14 characters. A numeric prefix is automatically added by the system.


Training Title

Enter the name of the training.

This is the title that will appear in your training list.


Training Category

Select the most appropriate category for your training.

You can also select Auto decide by AI and allow the AI to determine the most suitable category.

Available categories include:

  • Induction Training

  • Toolbox Talk

  • Task-Specific Training

  • Risk Assessment Training

  • Safe System of Work / Method Statement Training

  • Equipment & Machinery Training

  • Incident & Lessons Learned Training

Number of Attempts Allowed

Set the number of times a learner can attempt the assessment.

This setting only applies when the training includes a scored assessment.

Set Valid Duration

Enable Set Valid Duration (in Months) if the training should expire after a specified period.

Once the training expires, the learner will need to retake it.

Score Type

Select the type of assessment that will be used for the training.

For example, Test Assessment can be used for an automatically scored knowledge test.

Set Scoring Criteria

Set the minimum percentage a learner needs to achieve to pass the assessment.

For example, you can set the passing score to 80%.

Course Level

Select the appropriate course level:

  • Beginner

  • Intermediate

  • Advanced

Select Next when you have completed the training preferences.

Step 3 – Set Training Structure

The Training Structure screen controls how the AI creates the training.

AI Generation Settings


Source Following

Use the Source Following setting to control how closely the generated training should follow the source material.

The available options range from Reference to Strict.

  • Reference – The AI uses the source material as a reference and may add more AI-generated content.

  • Follow – The AI follows the source material while allowing some additional content where appropriate.

  • Strict – The AI stays closely aligned with the provided source material and minimises additional content.

Follow is the recommended setting for most training.

Training Length

Choose how detailed you want the generated training to be.

Available options include:

  • Auto decide by AI

  • Short

  • Standard

  • Comprehensive

If you select Auto decide by AI, the system determines an appropriate length based on the source material.

Output Language

Select the language in which you want the training to be generated.

You can select a specific language or select Select default language (English).

This allows you to create training content in a language other than English where required.


Knowledge Test

You can choose what type of learning content the AI should generate.

Create Scoring Section

Enable this option to generate an end-of-course knowledge test.

The questions will form part of a scored assessment.

Create Non-Scoring Sections

Enable this option to create non-scoring, step-by-step learning sections.

These sections allow learners to work through the training content without being assessed.

You can enable either option or both, depending on the type of training you want to create.

Once your settings are complete, select Generate Outline.


Step 4 – Review the Generated Outline

The AI will analyse your source material and generate a proposed training outline.

This may take a few moments.

Once the analysis is complete, you will see the generated training structure.

Each section will display:

  • The section title.

  • A short description of the content.

  • Options to make changes to the section.

Review and Edit Sections

Before generating the final training, you can review the proposed sections.


Edit

Select the Edit icon to make changes to a section.

Regenerate

Select the Regenerate icon if you want the AI to create a different version of the section.

Delete

Select the Delete icon to remove a section from the training outline.

Expand

Select the Chevron icon to expand a section and view more information before approving it.

Review the complete outline and make any required changes.

Tip: Take time to review the generated outline before approving it. Changes made at this stage can help ensure the final training has the correct structure and covers the required topics.

Once you are happy with the outline, select Approve & Generate Training.

Step 5 – Generate the Training

After you approve the outline, the AI will begin creating the full training course.

The training will open in the Course Editor, where the content is generated in the background.

While the training is being created, you may see a status such as Training in Progress or Training In Review.

You will also receive an email notification when the training creation process is complete.

Reviewing the Generated Training

Once the training has been generated, you can open it in the Course Editor and review the content.



You can also:

  • Preview the training.

  • Reorder Section to change the order of sections.

  • Add Section to manually add additional content.

  • Re-Process Course if further AI processing is required.

The training remains in Maintenance Mode while it is being created and reviewed.

Review the generated content carefully to make sure it meets your requirements.

Once you are satisfied with the training, turn off Maintenance Mode to make the training available for assignment.
